Admissions Coordinator

At St. Mary's Montessori School, we proudly provide high-quality Montessori education for children ages 6 weeks through elementary. We are seeking a friendly, detail-oriented, and professional Admissions Coordinator to join our administrative team—someone who is self-motivated and interested in a long-term role. This vital role supports both admissions and front office operations, making it ideal for someone who thrives on building relationships, providing exceptional customer service, and ensuring a smooth administrative process. The ideal candidate will have strong communication skills, advanced computer proficiency, and a solid understanding of Procare (student enrollment and record keeping software) and California Title 22 regulations.

Responsibilities

  • Serve as the first point of contact for prospective families, guiding them through the full admissions process, from inquiry to scheduling to enrollment, while ensuring timely and professional communication.

  • Collaborate with faculty and staff to create a warm, welcoming environment for new and prospective families.

  • Maintain accurate and up-to-date records of applications, enrollment, and admissions data using our school management systems.

  • Greet and welcome families, children, and visitors with professionalism and warmth at the front desk.

  • Answer and direct calls using a multi-line phone system with exceptional phone etiquette.

  • Manage all incoming communications, including emails, mail, and deliveries.

  • Maintain organized and efficient digital and physical filing systems.

  • Provide administrative support to school leadership and assist with the day-to-day operations of the front office.

  • Ensure student records are accurate, complete, and compliant with California Title 22 regulations.

  • Support licensing audits and inspections by maintaining thorough and accessible documentation.

  • Handle all sensitive information with discretion, maintaining confidentiality at all times.

Requirements

  • Associate’s or Bachelor’s degree in Education, Administration, or a related field preferred

  • 2+ years of experience in admissions or school administration

  • Knowledge of California Title 22 regulations

  • Proficiency in Procare and Microsoft Office (Word, Excel, Outlook, Publisher)

  • Exceptional communication, phone etiquette, and customer service skills

  • Highly organized with the ability to multitask, prioritize, and work independently

  • Friendly, professional, and team-oriented demeanor

  • Strong commitment to confidentiality and accuracy

Job Requirements Per Department of Social Services:

  • Live Scan

  • Mandated Reporter: General Training, Child Care Provider

  • T/Dap & MMR Immunizations
