Admissions Coordinator
At St. Mary's Montessori School, we proudly provide high-quality Montessori education for children ages 6 weeks through elementary. We are seeking a friendly, detail-oriented, and professional Admissions Coordinator to join our administrative team—someone who is self-motivated and interested in a long-term role. This vital role supports both admissions and front office operations, making it ideal for someone who thrives on building relationships, providing exceptional customer service, and ensuring a smooth administrative process. The ideal candidate will have strong communication skills, advanced computer proficiency, and a solid understanding of Procare (student enrollment and record keeping software) and California Title 22 regulations.
Responsibilities
Serve as the first point of contact for prospective families, guiding them through the full admissions process, from inquiry to scheduling to enrollment, while ensuring timely and professional communication.
Collaborate with faculty and staff to create a warm, welcoming environment for new and prospective families.
Maintain accurate and up-to-date records of applications, enrollment, and admissions data using our school management systems.
Greet and welcome families, children, and visitors with professionalism and warmth at the front desk.
Answer and direct calls using a multi-line phone system with exceptional phone etiquette.
Manage all incoming communications, including emails, mail, and deliveries.
Maintain organized and efficient digital and physical filing systems.
Provide administrative support to school leadership and assist with the day-to-day operations of the front office.
Ensure student records are accurate, complete, and compliant with California Title 22 regulations.
Support licensing audits and inspections by maintaining thorough and accessible documentation.
Handle all sensitive information with discretion, maintaining confidentiality at all times.
Requirements
Associate’s or Bachelor’s degree in Education, Administration, or a related field preferred
2+ years of experience in admissions or school administration
Knowledge of California Title 22 regulations
Proficiency in Procare and Microsoft Office (Word, Excel, Outlook, Publisher)
Exceptional communication, phone etiquette, and customer service skills
Highly organized with the ability to multitask, prioritize, and work independently
Friendly, professional, and team-oriented demeanor
Strong commitment to confidentiality and accuracy
